Converting Email Files to PDF – Approaches & Solutions

Most users prefer to archive their email data. They store received and sent emails in the form of backups. Currently, there are thousands of free and paid utilities that can be used to convert various files and even emails to PDF. You are probably wondering how this can be done without special technical knowledge and skills. Let’s try to explore it together.

Option 1 – Use an Online Converter

As a rule, any Outlook to PDF converter is a common program that does not require the connection of any additional devices or special technical skills. All you have to do is apply the “Convert” command to the selected message or group of messages that you want to save as PDFs. Done! Any email can be saved in PDF format. The program does all the work for you.

Option 2 – Use Built-in Converters

Converting email data to PDF is very easy and doesn’t require a lot of technical experience. First, you need to consider what email service you use. It can be Outlook, Outlook Express, Thunderbird, Yahoo, or Windows Live. Different clients use different built-in applications, and the procedures for converting emails to PDFs are also different. Let’s take a look at the most common email service – Outlook.

  • Outlook 2007 and Outlook 2010 do not have the option to save messages as PDF files, but there are other ways to do this.
  • As it has been already mentioned, there are typical print functions. So, as soon as you enable the print message option, the program will convert it to a PDf file and ask you for a filename and destination.
  • There are many tools that can be used to convert individual files or entire folders. In addition, the programs allow you to set passwords and thus protect documents from unauthorized access.

Option 3 – Convert Many Emails to PDF at Once

You can also find a program designed to convert email messages from various email clients. The program converts several messages at once to PDF and other formats. This is a suitable solution if you need to process a large number of messages in several folders at once.

In order to convert emails (OST, PST files) to PDF, you must:

  • Select the desired folder in the file tree.
  • Check the boxes you want. If you are converting one or more files, select them manually. If you want to process all the files contained in the folder, click the “Mark All” button.
  • Select PDF in the format bar.
  • Use wizard settings. Remember to choose a path so that you know where the destination files are.
  • Press the “Start” button to initiate the conversion process.

To appreciate the benefits of the program, we strongly recommend to download the free demo version and run a test drive. From now on, you have nothing to worry about as you can convert messages to PDF files!
